A. Information You Provide

We may collect personal data that you voluntarily provide, including:

  • Contact Details: Name, email address, phone number, business name, and website URL when you fill out a form, book a demo, or contact us.
  • Form Submissions & Messages: Any information you submit via contact forms, live chat, or email (e.g., questions, business details, or feedback).

B. AI Demo “Roleplay” & Voluntary Data

Our Demo Agents are intended as technical demonstrations, not as production systems. When you interact with a Demo Agent:

  • The AI may ask for contact details (e.g., name, email, phone) to simulate a real-world booking or intake flow.
  • You are not required to provide real personal data to use these demos. We explicitly encourage you to use fictitious details such as “Jane Doe” or “555-0101” when testing.

C. Audio, Voice & Interaction Data

When you call or speak with a Demo Agent, we may process:

  • Voice Input: Your spoken audio is transmitted in real time to convert speech to text so the AI can respond.
  • Transcripts: Temporary text transcripts of your conversation may be generated to power the interaction and improve accuracy.
  • Metadata: Caller ID, phone number, call duration, time stamps, and basic telephony diagnostics (e.g., carrier, connection quality).

For web-based demos and agents, we process similar interaction data in text form.

No Permanent Call Recording by BlackBox Intel: We do not maintain permanent audio recordings or full transcripts of demo conversations in our own business records. Data is processed transiently to generate the AI response and may be retained for a limited period for debugging, security, and performance monitoring. Our third-party providers may process or temporarily store data in accordance with their own privacy policies.

D. Automatically Collected Technical Data

When you visit our website or interact with embedded widgets, we automatically collect:

  • IP address and approximate location
  • Browser type, device type, operating system
  • Pages visited, referring/exit pages, and time stamps
  • Which Demo Agents you interacted with and session duration

  • To Communicate With You Responding to inquiries; sending confirmations/updates; sending marketing communications where consented.
  • To Ensure Security & Prevent Abuse Detecting fraud, spam, or malicious activity; protecting the integrity of our demo lines and services.

We do not sell your personal information in exchange for money.

5. Technology Stack & Third-Party Processors

Our AI voice and chat experiences rely on a set of specialized providers to function in real time. When you use our Service, your data may be transmitted to and processed by some or all of the following:

  • Twilio – Telephony infrastructure and audio transport for phone calls.
  • Vapi – Voice AI orchestration and conversation management.
  • ElevenLabs / Cartesia – Text-to-Speech generation for synthetic voices.
  • OpenAI, Google, or comparable LLM/Speech-to-Text providers – Natural language understanding, response generation, and transcription.
  • GoHighLevel – Managing contact records, forms, and follow-up workflows.

These providers act as processors of data on our behalf. Your data is handled in accordance with their respective privacy policies and contractual terms with us.

6. AI Limitations & Hallucinations (Important Notice)

Our Demo Agents use generative AI. While they are designed to be helpful and realistic, they may:

  • Provide incorrect, incomplete, or misleading information (“hallucinations”)
  • Misunderstand the context of your question
  • Simulate business actions (e.g., “booking” an appointment) without any real-world effect

All interactions with Demo Agents should be considered technical demonstrations only.

Nothing said by an AI agent during a demo should be treated as legal, medical, financial, or professional advice, nor as a binding offer or contract. We are not liable for any actions you take based on information generated by Demo Agents.

7. Legal Bases for Processing (EEA/UK)

If you are located in the European Economic Area or the United Kingdom, we rely on the following legal bases to process your personal data:

  • Contractual Necessity – To provide the Service you request (for example, when you initiate a call, start a demo, or submit a form).
  • Legitimate Interests – To secure and improve our Service, prevent abuse, and understand usage patterns.

  • Contact & Account Data: Information you provide via forms, email, or as part of a commercial relationship may be retained for as long as necessary to fulfill the purposes described in this Policy and to comply with legal obligations.
